The starting salary is $59,000, with possibility of quarterly profit-share based.  This is a full time, FLSA Exempt position.

Summary:

The Administrative Supervisor plays the integral role of day-to-day scheduling/administrative coordination, helping to direct referral/service request processing and client scheduling. The Administrative Supervisor works with the Practice Manager in developing and continuously improving polices/practices for overseeing client flow, scheduling, and many non-clinical operations of the office. In collaboration with the Practice Manager, the Administrative Supervisor manages/oversees work assignments, performance, and productivity of the administrative/scheduling staff.

This position requires knowledge and skills in psychological services scheduling management, or the willingness and capacity to rapidly develop such knowledge and skills. Attention to detail, organizational skills, an ability to track multiple demands, interpersonal skills, team leadership skills, and customer service skills are required.

Duties & Responsibilities:

Manages and coordinates clinical scheduling:

  • Monitors clinical capacity, and manages service request flow to ensure clinic is adequately scheduled with appropriate clients/cases;
  • Coordinates, supports, and assists administrative team in scheduling client appointments;
  • Coordinates, supports, and assists administrative team in ensuring client appointment reminders/notifications.

Oversees, supervises and manages employees in non-clinical, administrative/support positions (in collaboration with the Practice Manager) :

  • Ensures non-clinical, administrative/support employees work in compliance with agency polices/procedures and relevant laws;
  • Manages disciplinary decisions regarding performance of employees in non-clinical, administrative/support positions, up to but not including termination procedures;
  • Makes hiring decisions regarding administrative support positions.

Communications:

  • Develops and models front-end communication strategies with clients/families, community partners, and referring providers;
  • Maintains positive/collaborative working relationship with all community partners requesting information about services;
  • Facilitates and models collaborative communications between administrative and clinical staff;
  • Maintains privacy of protected client health information in accordance with HIPAA.

Qualifications:

  • Work history demonstrating critical thinking skills, independent judgment, ability to achieve long-term work goals, and capacity to master new skills/concepts; Bachelor’s degree preferred.
  • Prior experience with customer/client service and communication.
  • Behavioral health/medical scheduling experience preferred.
  • Prior team-leadership/coordination experience preferred.
  • CPT and DSM/ICD coding knowledge preferred.

  • Ability to interact effectively, empathetically, and professionally with clinical staff, management, clients, and community partners of diverse backgrounds.

This Program Manager position is primarily based with our Portland team, although opportunities to work from our Central Oregon offices (in Bend) may also be available. The position provides opportunity for highly flexible hybrid remote work, with approximately 60% of work time (and often more) being available for remote work.

As the SABER Program Manager with MindSights, you will receive ongoing training in comprehensive, client-tailored psychological evaluation services, integrating the best science with compassionate, collaborative, affirming and inclusive practice.

You will have opportunities to work with, serve and advocate for young people affected by a wide range of neurodevelopmental, emotional and behavioral conditions, including (but not limited to): autism spectrum disorder; complex psychiatric conditions; ADHDs; FASDs; attachment disruptions due to foster care placement; developmental/relational trauma; depressive/mood disorders; learning disabilities; schizophrenia-spectrum disorders; and anxiety disorders. Compensation:

The annual wage-based compensation for this Program Manager position typically begins at $127,000/year/1.0 FTE. with opportunities to increase compensation when additional responsibilities are undertaken. Annual performance-based salary increases are offered as well. There is also a $6,350 (5%) sign on bonus.
